In the 1990s Scanvægt Nordic chose to automate the process concerning settlement of company-paid travel expenses. The company has had great return of the investment in Acubiz EMS, which simplifies the administrative work considerably- and it makes you able to maintain an observation over your travel expenses.

Today the system is being used frequently by the 200 travelling and stationed employees, these includes salesmen, fitters and administrative staff.

More advantages through automation

It turned out there was more advantages by introducing the system, according to Jens Ole Hesel. Especially for the employees who are involved in the process about expense accounting:

"People are used to state an account number only. With Acubiz EMS they had to decide on the expenses and to add a relevant description. In the beginning we had to get used to it. But most of the information is already being stored in the system, because it's possible to enter most enclosures in advance, so it has altogether eased the work considerably and given a better data discipline. And our users are very happy about the system", evaluates Jens Ole Hesel, who also appreciates that Acubiz EMS makes the top management able to maintain an observation over the expenses:

"We've been able to maintain an observation over the expense accounts with Acubiz EMS. Today we're able to see which expenses are connected to which travels. Air ticket, diets and various enclosures are all assembled on one expense account. The process used to be heavy and difficult, because each individual enclosure type was registered and entered independent of each other" says the Nordic chief accountant.

Flexible and transparent flow
Acubiz EMS has also given Scanvægt Nordic a more flexible and transparent flow:

"All expense accounts are finished fast - not least because it's faster for the head of departments to approve. And at the same time the flow has gotten more transparent - we're able to follow the enclosures through the process and in that way spotting possible irregularities at once. E.g. the employees are able to see if their expenses are waiting for approval. They weren't able to do that earlier, and that was a problem seeing as the employees sometimes have their own money at stake", says Jens Ole Hesel, who thinks that Acubiz EMS is indispensable today:

"We travel more than ever before, and that's one of the primary reasons why we couldn't do without the system today. It would be impossible to do our expense accounts in the same pace", ends Scanvægt Nordic's chief accountant.
